Use a modular provider as your benchmark. Compass Education offers a wide module range, so you can map each requirement to a named function and see whether a platform covers it natively or relies on bolt-ons. Build a simple scoring grid: list your must-have features down one side, score each provider from one to five, and weight the categories that matter most to your setting. A large primary and a small independent will weight them differently, and that is the point.

Onboarding is the cost most often missed at quote stage. Data migration, configuration and training take time and sometimes money. Ask whether onboarding is included or billed separately, how many training sessions you get, and what it costs to train new office staff later. A cheap licence with expensive, slow setup is not a cheap system.

Certification is the second, more concrete checkpoint. ISO 27001 is the recognised international standard for information security management, and a vendor holding current certification has had its security controls independently audited against that standard rather than simply asserting they are secure. For any part of a system handling payment data, such as fee billing or canteen top-ups, PCI-DSS Level 1 compliance is the equivalent standard specifically for payment card handling, and it is worth asking whether that certification covers the billing module directly rather than being described only at the level of the parent company.

Timing is the second decision, and in a school the calendar decides it for you. The gaps between terms, and the summer break in particular, give you a window to move without a live term relying on the switch. Avoid cutting over in the middle of admissions or reporting season. Agree a clear go-live date, keep the old system readable for a defined period afterwards, compass.education and confirm you can still retrieve historic records if you need them. Never delete the old data until the new system is verified and signed off.

There is a fair counter-argument, and it is worth naming. More modules can mean more to learn and more to configure, and a school that only needs the basics might feel a broad platform is more than it wants. The answer is that flexibility should let you start small. The presence of forty modules does not oblige you to run forty; it means the tenth and twentieth are there when you need them, without changing systems.
